Reference lists

There are 2 approaches to listing all the references used to write a document:

  1. A reference list details only the sources you cite within the text, in an alphabetical order based on the author's family name.
  2. A bibliography lists sources cited explicitly in a text, plus further references you consulted or that the reader may find useful.

The author–date system requires a reference list because it does not use footnotes or endnotes. You can expand it into a bibliography if you’d like to include a broader range of references than those you explicitly cite.

A bibliography is optional if you are using the documentary note system because you will have cited the details of your sources in your footnotes or endnotes. However, it is still a useful reference in many publications because it provides an alphabetical list of all sources. It also enables you to include sources you have read but did not explicitly cite in the text.

More importantly, there are key differences in how to cite and format references, depending on whether you are using the documentary note system or the author–date system. The main difference is where the date goes. This entry shows how references vary for each type of source.

Style basics

Generally separate elements with commas and use title case without italics for most titles

A reference list should include all the information your reader needs to find each source, such as:

  • author details
  • title and subtitle
  • publishing details
  • edition or volume number, where relevant.

You should generally separate all these elements with commas, although you don’t need one before the year in the author–date system.

The list should be in alphabetical order by author, using the letter-by-letter system.

Under the documentary note system, you’ll need to order each reference differently from the corresponding endnote. The first author should appear in the order ‘family name | initials’.

If an author has several works listed:

  • alphabetise their solo works by title
  • list their solo works before any multi-authored ones.

As for titles, we recommend using title case without italics in both referencing systems. But article titles and subtitles should be in sentence case.

You can then use the following short forms for specific elements:

Books

Give the title in title case along with the publisher’s name and location

To cite a published book or ebook, include:

  • the book title in title case, without italics
  • any subtitle in sentence case after a colon.

Add a page number or range if your reference to a print book is specific. But don’t use page numbers for an ebook.

For the author–date system, use this order:

author’s family name | author’s first initials | year | title | edition | publisher’s name | publisher’s location | page

Brownlow, K 2012, Pacific Island Nations and the Effects of Climate Change, 2nd edn, The Green Press, New York, p 221.

Whitbread L, Mauve D & Black O 2018, Assistive Software: An introduction for technophobes, Redleaf Ebooks, London.

For the documentary note system, use this order:

author’s family name | author’s first initials | title | edition | publisher’s name | publisher’s location | year | page

If you have multiple authors, put the first author’s family name before their initials, but keep other authors in the order ‘initials | family name’.

Articles in periodicals
Put the article title in sentence case with quote marks, and the periodical title in title case

To cite an article in a newspaper, magazine, journal or other periodical, include:

  • the article title in sentence case, surrounded by quote marks
  • the periodical title in title case, without italics.

For the author–date system, use this order:

author’s family name | author’s first initials | year | article title | periodical title | volume | page range

Grey, G 2020, ‘Managing influenza in communities’, Journal of Public Health, vol 21, pp 31–36.

Salmon, CC & Tan, YM 1998, ‘Aged care in crisis’, Residential Care Journal, vol 2, pp 143–148.

For the documentary note system, use this order:

author’s family name | author’s first initials | article title | periodical title | volume | year | page range

If you have multiple authors, put the first author’s family name before their initials, but keep other authors in the order ‘initials | family name’.

Workplace reports
Follow the style for books, generally repeating the authoring body as the publisher

For reports and other documents an organisation has produced, generally credit the organisation as both the main author and the publisher. If there is a specific author, give this name after the title. Where a government agency within a broader department is the author, give the department as the publisher.

For the author–date system, use this order:

authoring body’s name | year | title | specific author | publisher’s name | publisher’s location | page

State Transit Agency 2010, Review of the Southern Tram Line Extension, Department of Transport, Melbourne.
Human Rights Council 2013, Rights Abuses in Developing Countries, report by B Brown & W White, HRC, Perth.

For the documentary note system, use this order:

authoring body’s name | title | specific author | publisher’s name | publisher’s location | year | page

State Transit Agency, Review of the Southern Tram Line Extension, Department of Transport, Melbourne, 2010.

Web content and social media posts
Include the format, publication date and viewing date

To cite web content and social media posts, you can use a similar approach, although social media references generally require fewer details.

Note that the author might be a writer, an editor or an organisation. If the authoring and publishing organisation are the same, you don’t need to repeat the name.

Where you’re including a web address, only format it as a live hyperlink in onscreen content.

For the author–date system, use this order:

author | year | title | version | format | publisher’s name | publisher’s location | viewing date | URL

Emails

Use the author’s name and email address, but only with their permission

You won’t often need to cite an email in a reference list. If you do, you should ideally give the author’s name and email address. But you must have their permission to include the address.

For the author–date system, use this order:

author | year | format | date sent | email address

Black, B 2020, email, 1 April, [email protected].

For the documentary note system, use this order:

author | format | date sent, including year | email address

Black, B, email, 1 April 2020, [email protected].
